Player Profiles

Create player profiles, record permission to publish, put profiles in your app, and control who sees private information.

Overview

Every player has a profile page in Teams & Players → Players. It holds private records (details, contact information and team history) and a public profile (display name, photo, bio and profile link). Nothing on the public profile reaches fans until someone records permission and publishes it.

Club admins decide who can see private information, and when your public rosters switch to published profiles. Teams, rosters and the Roster action are covered in Teams, Players & Rosters.

Who Can Do What

Five permissions control player profiles. Everyone starts with their role's defaults, and a club admin can change them person by person in Data access and settings.

Permission What it allows Admins Editors
Manage player records Edit administrative details and team assignments, create and delete players. Yes No
Access private contact details See and edit players' email addresses and mobile numbers. Yes No
Access emergency contacts See and edit emergency contacts. No No
Manage public profiles Edit public content, record permission to publish, publish and unpublish. Yes Yes
View player audit history See who changed what on each player profile, and when. Yes No

Emergency contacts are never part of a role. A club admin gives them to named people only.

Everyone who can open Players sees each player's legal first and last name. Only staff with Manage player records can change it.

Step 1 — Create a Player

You need Manage player records.

  1. Go to Teams & Players → Players and select Create New Player.
  2. Enter the player's legal First name and Last name.
  3. Add their Player number and Position if you have them.
  4. Choose one or more Teams. A player can be on more than one team, and you can change this later.
  5. Select Create player. The new profile opens, unpublished.
Legal names on public rosters

A published profile shows the display name, never the legal name. While your club's public rosters still show the current roster, a player on a Public team appears on it straight away under their legal name, as players always have. See What Fans See.

Step 2 — Fill In the Profile

Open a profile by selecting the player's name in the Players list. The profile has a section for each kind of information, each with its own edit and save buttons. A lock marks private information. Where you don't have permission, a section shows a note instead of its content.

Player details

Needs Manage player records.

First, last and preferred name
The player's legal name and the name they like to be called. A published profile uses the display name instead.
Date of birth Optional
Never published, and age isn't worked out from it.
Player number and Position Optional
Shown on rosters and on the player's card in the app.
Player status
Active or Inactive in the club. This is separate from whether the profile is published.
Junior or adult
A profile can't be published until this is set. Follow your club's junior policy, which shows under the field once a club admin has added it.
Squad status, Registration and Membership number Optional
Private club records. Registration has a status and a season.

Contact information

  • Player contact (email and mobile) needs Access private contact details.
  • Emergency contact (name, relationship and phone) needs Access emergency contacts.

Neither is ever published.

Public profile

Needs Manage public profiles. This is what fans see once the profile is published.

Display name
The approved name fans see, for example Jordan “Jordy” Mitchell. A profile can't be published without one.
Bio Optional
Published only with permission for the bio.
Profile link Optional
A page fans can open from the roster, such as the player's page on your club website. Enter the full address, starting with https://.

Select Save profile. Saved changes reach fans only when you select Publish changes.

Profile photo

Select Upload photo, or Replace photo if there's one already. Use a JPEG, PNG or WebP image at least 200 × 200 pixels and under 20 MB. Location and camera details are removed, and the photo stays private until the profile is published with permission for the photo. If you're part-way through editing the public profile, save or cancel first.

Current teams

In Current teams (Current team when there's only one), select Change to add or remove teams. This needs Manage player records. Staff with that permission also see the date the player joined each team and a private team history.

Completeness, activity and match record

  • Profile completeness — a checklist of what a public profile needs: display name, profile photo, bio, position, player number, team, junior or adult status and permission to publish, plus a guardian's authorisation for juniors when your club requires it. Contact details, date of birth and emergency contacts aren't counted.
  • Recent activity — who changed what on the profile, and when. It lists which fields changed, not their values. Needs View player audit history.
  • Match record — goals, assists and cards from Match Centre. Player profiles aren't linked to Match Centre fixtures yet, so it shows “No matches linked yet” for every player. These numbers aren't part of the public profile.

Step 3 — Record Permission to Publish

You need Manage public profiles.

  1. In Public profile, select Record permission (or Update permission if one is recorded). It's also in the More actions menu (···) as Record permission to publish.
  2. Under What may be published, tick what was agreed: Name, Photo and Bio. Photo and bio need the name too.
  3. Under Who gave permission, choose The player or A parent or guardian. For a guardian, add their name and relationship.
  4. Choose How it was given: Registration form, Signed consent form, Email, In person or Other. Add a Note if it helps, for example “2027 registration form”.
  5. Select Save permission. Your name and the time are saved with it.

If your club requires a guardian's authorisation for juniors (the starting setting), a player recorded as a junior needs permission from a parent or guardian.

To record that permission was withdrawn, untick everything and save. A published profile comes down straight away.

Step 4 — Preview and Publish

  1. Select Preview to see the player's card as fans will. It lists anything missing under Before this can be published, and anything that will be left out, such as a photo there's no permission for.
  2. Select Publish. The confirmation names the public rosters the profile will appear on. Only the display name, number, position, teams, profile link, and the photo and bio you have permission for are published.

A profile can be published once it has:

  • a display name
  • permission to publish the name
  • junior or adult recorded in Player details (which needs Manage player records)
  • a parent or guardian's authorisation, for a junior, when your club requires it.

If anything's missing, Publish opens the preview so you can see what.

After publishing

  • Edits to the public profile, number or position wait for you, including clearing a field, before they reach rosters that show published profiles. The profile shows Unpublished changes, and the button becomes Publish changes.
  • These apply straight away, with no need to publish: removing the photo, withdrawing permission, taking the player off a team, and a change that breaks the junior rules.
  • Team changes reach rosters straight away. A published player added to another team appears on that team's roster at once; the profile then shows Unpublished changes until you publish, which adds the team to their card.
  • To take a profile down, select Unpublish and confirm. It comes off rosters that show published profiles at once, and its public photo is deleted (a cached copy can take up to 5 minutes to clear). When there are unpublished changes, Unpublish is in the More actions menu.
Clubs still showing the current roster

Unpublishing doesn't hide a player from the current roster. To do that, record permission with Name unticked. See What Fans See.

Data Access and Settings

Club admins see Data access and settings on the Players page.

Staff access

Everyone with access to your club is listed. For each permission, choose Default (their role's setting, shown as yes or no), Allow or Don't allow. Changes save straight away and apply to every player in your club.

Settings

Public rosters show
The current roster (the starting setting) or Published profiles only. Applies to every Public and Opt-in roster in your club as soon as you save, and you can switch back at any time. See What Fans See before you switch.
Club time zone Optional
Used for dates and times on player profiles and their activity. If it isn't set, each person sees times in their own browser's time zone.
Junior policy Optional
Your club's own definition of a junior, up to 500 characters. Staff see it when they record whether a player is a junior or an adult, and decide from it. It isn't worked out from dates of birth.
A parent or guardian must authorise publishing a junior's profile
On to start with, and recommended. Turning it on takes down any published junior profile that doesn't have a guardian's authorisation. With it off, a junior's own permission is enough.

Select Save settings, or Undo changes to go back.

Deleting a Player

You need Manage player records. On the profile, open More actions (···) and select Delete player, or use the delete button on the Players list. This takes the player off every team, unpublishes the profile and permanently deletes their private records, photos and history. It can't be undone.

If a player has left and you want to keep their records, set their Player status to Inactive and take them off their teams instead.

Troubleshooting

  • Publish opens the preview instead of publishing — something's missing. The preview lists it under Before this can be published.
  • “You don't have access to this player” — your account doesn't have access to this club. Ask an admin to give you access in User Management.
  • A section says it's only visible to staff with permission — your permissions don't include it. A club admin can change that in Data access and settings.
  • “Someone else changed these details while you were editing” — another person saved first, and your changes haven't been saved. Select Discard my changes and reload, then make your change again.
  • The photo or bio isn't in the app — check that the permission covers it, then select Publish changes.
  • The photo won't upload — use a JPEG, PNG or WebP image at least 200 × 200 pixels and under 20 MB.

For rosters that don't show what you expect, see Teams, Players & Rosters → Troubleshooting.
